Terms of use
The agreement between you and EB IT Support Ltd for using Video Planner. Last updated 5 October 2026.
1. About these terms
Video Planner is a video planning service run by EB IT Support Ltd, Boston Enterprise Centre, Boston, Lincolnshire ("we", "us"). By creating an account or using Video Planner, including the phone app, you agree to these terms and confirm you've read our Privacy policy. If you don't agree, please don't use the service.
2. Your account
- You must be 13 or older. If you're under 18, you need a parent's or guardian's permission, and they accept these terms on your behalf.
- Give accurate details, including an email address you can access. We use it for password resets and important account messages.
- Keep your password private, and only tick "Keep me signed in" on devices you trust. You're responsible for what happens in your account. Tell us straight away if you think someone else has got into it.
- One person per account. Don't share your sign-in. Invite people to your workspace instead.
- New accounts may need to confirm their email address, and may need approval from our staff, before they can be used.
3. Your content
Everything you add (videos, scripts, shot lists, ideas, descriptions, images and so on, "your content") stays yours. You give us permission to store, encrypt, process and display your content only so we can run Video Planner for you and the people you share your workspace with. We don't claim ownership, sell it, or use it for advertising. Your content is never shared to train any AI models.
You're responsible for your content and must have the right to use it. For example, don't upload images you don't have permission to use. We may remove content that breaks these terms or the law.
Please keep your own copies of anything important (the shooting plan and shot lists can be printed). We work hard to keep your data safe, but no online service can promise it will never be lost.
4. Acceptable use
Please don't use Video Planner to:
- break the law, or store or share anything unlawful, harmful, hateful, or that infringes someone else's rights;
- harass, threaten or harm anyone, including the people in your workspace;
- try to get into accounts, workspaces or data you're not entitled to, or test, probe or attack the security of the service;
- overload, disrupt or scrape the service, or use bots and automated tools other than the features we provide (such as the API, within its limits);
- get round plan limits, YouTube usage limits or other restrictions, for example by creating extra accounts;
- send spam through the contact form or team invites;
- copy, resell or rebuild Video Planner itself.
5. Teams and workspaces
If you invite people to your workspace, their role decides what they can see and change (areas can be denied, and people can be limited to the videos assigned to them). You're responsible for who you, and your channel managers, invite and what access you give them, and you can remove them at any time. If you join someone else's workspace, the content there belongs to them, you must keep it confidential, and they can remove your access. Limits and features in a workspace come from the owner's plan. If you share videos with guests (people without an account) through a guest link, you're responsible for who you give the link and PIN to; guests can only suggest changes, and their suggestions become your content once you accept them. Guests must keep what they see confidential and follow these terms' acceptable use rules. Sharing a workspace is covered by our Workspace & Team Policy: owners agree to it before their first invite and members when they join.
Community suggestions
If you switch on a suggestion page for your workspace, you're responsible for it: what you approve and leave up there, your replies, and removing anything that breaks these terms. Anyone suggesting, voting or commenting (on a creator's page or ours) must follow the acceptable use rules above: no spam, abuse, other people's personal details, or vote stuffing. A suggestion is just an idea: sending one doesn't create any agreement, payment or credit, and the creator (or we) may use, change or ignore it. We may remove suggestions and comments, or switch a page off, if they break these terms.
If you pick your own web address (like name.vp-bio.app), it must not pretend to be someone else, a brand you don't own, or Video Planner itself, and it must be suitable for everyone 13 and over. We may remove an address that breaks this, and you can't keep or sell an address you're not using for your own content.
Your page on that address (your bio and links) is yours to look after too: what you write and every link you add must follow these terms, and links must not lead to anything that breaks them (such as scams, malware, adult content or other people's personal details). Links to other websites are added by you, not us: Video Planner doesn't check or control those sites and isn't responsible for their content, and visitors see a note saying so. Our staff may edit your bio, remove links, or remove your address if they break these terms.
6. YouTube and Twitch
Channel insights, the idea generator, the title helper and trending topics use YouTube API Services. By using those features you also agree to be bound by the YouTube Terms of Service, and Google's handling of information is covered by the Google Privacy Policy.
Only add channels you own or are allowed to analyse. If you add your own YouTube API key, you're responsible for it and for following Google's terms for it. YouTube may change or limit its services, which can affect these features.
Twitch stats use Twitch's public API. Only connect a Twitch channel you own or are allowed to analyse. Twitch may change or limit its API, which can affect these features. For example, Twitch only keeps past broadcasts for a limited time.
Insights, suggestions, best times to go live, pacing and trending topics are worked out from statistics and third-party data. They're there to help you plan. They aren't guarantees of views or results.
7. The API and webhooks
The API lets a bot, script or other tool (such as a Discord bot) work with a workspace using an API key, and webhooks send a message to an address you choose when something happens. Both are optional: they only work if your workspace's plan includes API access and you switch it on yourself in My account → API access. How to use them is explained in our API guide.
- Your keys are your responsibility. Keep API keys and webhook secrets private, like a password. A key acts as you, so you're responsible for everything done with your keys and webhooks, including by any tool or person you give them to. If you think one has leaked, remove it straight away in My account → API access and let us know if it was misused.
- Only what your role allows. A key or webhook only works in the workspace it was made in, only does what you ticked, and never more than your role there allows. If you use one in someone else's workspace, their content is still theirs: only use it for that workspace's work, and don't copy it anywhere they haven't agreed to. If you leave or are removed from the workspace, your keys and webhooks for it stop working.
- Fair use. Stay within the limits (currently 60 requests a minute per key) and don't try to get round them, for example with extra keys or accounts. Don't use the API to overload the service, scrape it, get at anything you couldn't see on the site, resell access to it, or build a copy of Video Planner.
- Webhooks. Only send webhooks to places you control or are allowed to post in. They send things like video and stream titles, dates and statuses, and who made a change. Anyone who can see that place (for example everyone in a Discord channel) can read them, so don't send a workspace's plans somewhere public without the owner's agreement. Once a message reaches that service, its own terms and privacy policy apply (for example Discord's).
- Tools you build or use. Bots and tools that use the API are yours or a third party's, not ours, and you're responsible for them and for following the rules of the platforms they run on (for example Discord's developer terms). We're not responsible for what they do with information from Video Planner.
- Changes and limits. We may change the API, add to it or remove parts of it. We'll try to give notice before a change that stops existing requests working. We may make the API read-only or switch it off for a while (for example for maintenance or to stop abuse), pause webhooks that keep failing, and restrict or remove an account's API access, keys or webhooks if they're misused or break these terms.
8. Plans and payments
Each account has a plan that sets limits (such as how many videos or channels) and which features are included. Some plans are free; paid plans are shown with their price before you buy.
- Paying: payments are taken by our payment provider, Stripe. We never see or store your card number. Prices are shown including any VAT that applies at checkout.
- Renewal: paid plans are subscriptions that renew automatically each month or year, at the price you agreed, until you cancel. We'll tell you in advance before any price change applies to you, and you can cancel before it does.
- Free trials: if a plan has a free trial, you won't be charged until it ends, and you can cancel before then without paying.
- Changing plan: you can switch plan at any time from Plan & billing. The price is adjusted for the rest of the billing period on your next invoice.
- Cancelling: cancel any time from Plan & billing. Your plan stays active until the end of the period you've paid for, then your account moves to the free plan. Your data is kept.
- Your right to cancel: if you're a consumer in the UK, you can cancel a new subscription within 14 days of buying it and get a refund, but if you ask us to start the service straight away (which happens when you subscribe), we may keep an amount for the time you've used. Contact us to cancel this way.
- Failed payments: if a payment fails, Stripe will retry it and we'll ask you to update your card. If it still can't be taken, your account moves to the free plan.
- Refunds outside the 14-day window are at our discretion, except where the law says otherwise (for example, if the service wasn't provided with reasonable care and skill).
We may change plans, limits and features; if a change takes something away from a plan you're paying for, we'll give you notice and you can cancel.
Affiliate programme and sponsor offers
- You can share your affiliate link or code. Rewards (commission, free months, and any discount for the people you refer) are as shown on your Affiliate page at the time someone pays, and only count for genuine paying customers (not yourself, duplicate accounts or payments that are refunded or disputed).
- Commission is added up in your account and paid out by us; we may ask for payment details and proof of identity first. Free months are credited to your account and come off your next bill; they have no cash value.
- Your welcome page (the page people see from your link) is public. Only use a name, photos and words you have the right to use, keep it suitable for everyone 13 and over, and don't pretend to be someone else or promise things we don't offer. We can hide a welcome page that breaks these rules.
- Promote Video Planner honestly: say it's an affiliate or sponsored link where the law or platform rules require it (for example, the ASA/CAP rules in the UK and YouTube or Twitch disclosure settings), and don't use spam or misleading claims.
- Sponsor offers from us come with their own requirements and reward, shown when you apply. We may decline applications, and end or change the programme with notice; rewards already earned will be honoured.
9. The service
We're continually improving Video Planner, so features may change, be added or be removed. We aim to keep it available and working well, but we can't promise it will always be uninterrupted or error-free, for example during maintenance or problems with our hosting, email or YouTube.
10. Privacy and encryption
We handle your personal information as described in our Privacy policy. In particular, your name, email address and the content of your scripts, notes and ideas are encrypted in our database (AES-256-GCM), passwords are stored only as one-way hashes, and connections to the site use HTTPS. Encryption protects your data if the database is ever copied; when you use the service, it is unlocked to show it to you, your team and (only to help with support) our staff.
11. Ending your account
- You can stop using Video Planner and delete your account at any time from My account → Delete my account. This permanently deletes your account and everything in your workspace.
- We may suspend or close an account that breaks these terms, puts others or the service at risk, or that we're required to close by law. Where reasonable, we'll explain why and give you a chance to sort things out first.
- If we close an account for a serious breach of these terms, you may not create another account, and we keep a scrambled record of the email address (and linked Discord account) so it can't be used to sign up again for a set time. See our Privacy policy for what's kept and for how long.
- We may stop offering Video Planner altogether. If we do, we'll give reasonable notice so you can save anything you need.
12. Our responsibility to you
We provide Video Planner with reasonable care and skill. If you use it as a consumer, you have legal rights that these terms don't affect.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to limit. Apart from that, we're not responsible for losses that weren't foreseeable, for loss of business, income, views or opportunities, or for problems caused by things outside our reasonable control (such as YouTube, internet outages or your own device). Our total liability to you is limited to the greater of £100 and what you paid us in the 12 months before the problem.
13. General
- Changes: we may update these terms. We'll change the date at the top, and tell you by email or on the site before important changes take effect. If you keep using Video Planner after that, the new terms apply.
- Law: these terms are governed by the law of England and Wales, and disputes go to the courts of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
- If any part of these terms can't be enforced, the rest still applies. If we don't enforce a term straight away, we can still do so later.
